1. Survey Creation Overview    

1.1 Purpose of This User Manual

This user manual is designed to provide a comprehensive, step-by-step guide to creating, configuring, and managing surveys using the Survey module. It helps users understand the full survey lifecycle – from building a new survey and selecting appropriate question types to applying logic, customizing themes, configuring settings, and managing advanced features.

Use this guide to design effective, accurate, and user-friendly surveys while ensuring consistency, flexibility, and optimal data collection.

1.2 Getting Started on Survey Creation

Step 1: Go to Xebo.ai

Step 2: You will be redirected to the Single Sign-On page of Xebo.ai

Step 3: The landing page appears. From here, click the Surveys module to navigate to the survey list page.



 

Step 4: You will now arrive at the survey list page where you can view all surveys within your organization.




1.3 Surveys Overview

The survey list page allows you to view, search, filter and manage all surveys that are accessible to you. 

1.3.1 Navigating Surveys

Use the survey navigation bar at the top right of the page to switch between different survey views. Click any tab to instantly refresh the survey table according to the selected view.

 

NOTE: The “Request for Approval” and “Feedback Received” tabs are visible when Survey Approval Flow is enabled. Please view the Survey Approval Flow section to learn more.

  • All Surveys: Displays every survey you have permission to access, regardless of owner and status.
  • My Surveys: Lists surveys where you are the survey owner.
  • Shared Surveys: Lists surveys that other users have shared with you in your organization.
  • Request for Approval: Shows surveys that are requested for approval from the designated approver in the organization.
  • Feedback Received: Shows surveys for which feedback or review comments have been submitted by the designated approver in the organization.
  • Other Surveys: This tab is visible to the Super Administrator of the organization. The Super Administrator can view all surveys created within their organization.


1.3.2 Survey Organization

For large projects, it is preferred to organize your surveys into folders. With Xebo.ai, this is enabled through custom folders and sub-folders capability. This allows for organizing surveys as per your business needs such as department-specific folders.

A folder or sub-folder can be shared with an individual user or a group of users, allowing them to view or edit the surveys present within the folder.

To add folders for categorization, follow these steps:

Step 1: Navigate to My Surveys and click New Folder.


 


Step 2: Type a name for the folder and press Enter.

 

Step 3: By default, the new folder will be selected. You can now create surveys within this folder.


Creating a Sub-Folder

Step 1: Select the folder in which you want to create a sub-folder. Click the three dots for that folder and click Create Subfolder.

 

Step 2: Type a name for the folder and press Enter.

 

Step 3: By default, the new subfolder will be created. You can now create surveys within this subfolder.

 

The following options are available within the three dots menu of a folder:

 

  • Rename Folder – Change the folder name. 
  • Delete Folder – Delete the folder to permanently remove it along with the surveys present within them.
  • Share Folder – Share the folder with individual users or user groups within your organization. 
  1. In the Add users and groups field, search for and select the required user or group.

 

  1. Choose the appropriate permission level (Editor or Viewer) from the Viewer dropdown.

 

  1. Click Share to grant access.

 

  1. To manage existing users or groups, click Manage Users or Manage Groups as required.

1.3.3 List Information

The central table provides information on each survey and provides key information such as:

  • Survey Name: The title of the survey. Clicking on the survey name will open the survey builder.
  • Status: Indicates whether the survey is accepting responses or closed. 
  • The Active state indicates survey will capture any responses for any distribution channel in the survey. 
  • The Inactive state indicates survey will not capture any responses and respondents will see the survey is closed when attempting to respond to a survey.
  • By clicking the toggle, user can switch between Active and Inactive modes.

  • Responses: Shows the total number of responses collected.
  • Owner: Shows the survey owner. On hovering, the full name of the user is shown.
  • Created & Modified Date: Displays the survey creation date and last modified date.
  • Approval Status: If Survey Approval is enabled, this column displays whether survey is pending for submission, requested for approval, feedback received from survey approver or survey is approved and published.
  • Survey Quick Actions: Quickly navigate to the survey builder, distribute and results page. By clicking the menu, you can also perform the following actions:
  • Rename Survey
  • Move Survey (to a specific folder or subfolder)
  • Create a Copy (duplicate survey)
  • Share Survey
  • Get Survey ID (for use in APIs)
  • Delete Survey


1.3.3 Search and Filters

Surveys can be searched by using the search field above the table to find surveys by name or keyword. 

By clicking the Filter icon, you can filter surveys on the following basis:

  • View Favorited Surveys.
  • Filter on the Created & Modified Time by selecting an appropriate range.

You can also sort survey list based on each column by clicking the arrows beside each column name.

You can apply pagination to the survey list by select an appropriate list range and modify the number of surveys to be shown in the survey list.
